Every month I share what's actually on our plate β€” not the polished version, the real one. If something we're doing helps you run a tighter operation, steal it. That's the point.

If you're reading this on a Saturday, right when I sent it, you're exactly who I wrote it for. I'm not judging. I'm here too. But neither of us should be, and one of us has a fix.

This month we send renewal offers on leases that don't end until May 21, 2027. Eight months out.

For years we ran renewals 60 to 90 days ahead, like everyone does. That works fine on conventional units. It does not work on students β€” by January, the house down the block signed them in October. You're not renewing anyone at that point, you're re-leasing everyone.

The renewal date isn't lease administration. It's the whole competitive move.

That's most of this issue, actually. Snow bids while the plow guys still had empty calendars. The workers' comp policy pulled apart mid-term instead of at renewal. Vendors tested months before you need one. Nothing here is clever. It's all the same thing done early, when nobody's leverage is gone yet.

  • Snow RFPs to every plow contractor in our markets while their calendars were empty
  • Pulled our workers' comp policy apart mid-term instead of waiting for renewal β€” the audit, the class code, the experience modifier, the safety training cadence. Wrote up what we found and what it changed, including the part that isn't flattering.
  • Ground-up rewrite of our fee schedule and management agreement, every fee checked against state statute β€” a few common industry fees are flatly void in Wisconsin and most agreements out here still carry them
  • Wrote an appliance replacement standard, after spending a day arguing about a dishwasher
  • Set the cold-weather trigger: heating breaker and sprinkler-room heaters fire once overnight temps drop below 60

One thing first: check whether your management agreement gives you authority to add a resident-facing service. If it doesn't, that gets fixed before anything else β€” send it over and we'll tell you which clause is the problem.

Two deals came out of the vetting pipeline this year and I want more in it. Hunting right now: inspection software, make-ready labor, utility billing, renters insurance tracking, after-hours maintenance triage, screening with real fraud detection.

PMs: reply with a vendor you love or one that burned you. Neither gets published with your name on it. And if there's a name you've been circling for two years with no time to dig β€” reply with just that. I'll waste my own time on it and tell you what I find.

Vendors: pitch us. Terms up front β€” we test on our own portfolio first, we take nothing on the back end, and we publish the result either way, including the cancellations.

πŸ”§ Problem Solved: Write the Appliance Standard

A resident submitted a work order on an old dishwasher. The internal thread decided she was unreasonable before anyone opened the photos. Then somebody looked: tub coating failed and rusting through, gasket hardened, hinge corroded. She was right, and we'd spent most of a day discussing whether she was difficult.

That's not a people problem, it's a missing-standard problem. With no written rule, every appliance call becomes a referendum on the resident's personality, and whoever tells the story first sets the frame. So we wrote it: past a defined age plus documented material failure, it's a replacement. Condition decides.

Nobody has to spend social capital advocating for a resident anymore, because the standard advocates. And the owner conversation gets shorter β€” "the coating failed at nine years and it's a replacement next season regardless" is an argument. "The tenant is complaining again" isn't.

Write down the three appliance decisions your team argues about most. That's your standard. It takes an hour.

🏦 Fannie Mae approved lenders to begin using VantageScore 4.0 on conforming mortgages in April, with 21 large lenders leading the rollout. VantageScore 4.0 counts 24 months of trended data including on-time rent β€” reported rent is starting to touch home-buying eligibility, not just resident goodwill.

πŸ“ˆ TransUnion puts the share of renters with payment history reported to a bureau at roughly 13%, up from about 11% in 2024. Still a minority, so still a differentiator β€” probably not for much longer.
