April Exterior Inspection Checklist: Smart Owners Beat the Rush
Every month, we share what's on our to-do list for the following month, so you can be better prepared and upgrade your processes.
April up north is the earliest opportunity to plan for yearly exterior repair needs. Unlike the south, we can only do outside work safely and comfortably for half the year, so we have to make sure to utilize every warm day as effectively as possible.
Here’s what we are trying to accomplish:
- Find every repair or upgrade we need to make for the next 6 months, so we can accurately hire seasonal labor.
- Compile the data to use the combined buying power of our properties to secure the best contractor pricing for renovations and material purchases.
- Address any tree or shrub issues that may damage the property if not properly trimmed.
- Examine any drainage problems that might affect long-term foundation stability.
The Strategy: Preparation Over Reaction
Most spring maintenance issues aren't emergencies—they are delayed inspections. By the time a tenant complains, costs have already spiked. Our April goal is to find every repair needed for the next 6 months to:
- Maximize Buying Power: Compiling data allows us to use the combined scale of our properties to get the best contractor pricing on materials and labor.
- Beat the Rush: By May, vendors are booked and prices rise. April is the calm before the storm.
The System: Our Exterior Inspection Form
We proactively inspect every property to ensure no detail is overlooked. Our Virtual Property Managers (VPMs) use this data to log findings, track repairs, and communicate with owners.
Key Inspection Points:
- Rooflines & Flashing: Checking for curling/missing shingles.
- Gutters & Downspouts: Confirming proper installation and drainage.
- Safety & Structure: Identifying loose railings, unsafe stairs, or siding damage.
- Drainage & Grading: Ensuring water flows away from foundations to prevent flooding.
- Liability: Identifying trip hazards in walkways and branches near roofs.

Here are other items we have on our plate for April:
- Inspect property exteriors and plan renovations
- Hire and/ or coordinate cleaners, painters, or seasonal staff (Student Move out Season!)
- Send communications to tenants about seasonal programs or opportunities
- Maintain and tune equipment: lawn care tools, trailers, etc.
- Organize key inventory: 1 key per bedroom + extras
- Update insurance policies for vehicles or equipment
- Review and renew contracts (utilities, service providers, or HR policies)
We are already into our second week and almost done, thank god. We've been heads-down on the "invisible" overhead to maximize Net Operating Income (NOI).
Our Utilities VA is reviewing current providers this March to ensure our Clients are getting the best pricing and service. We compare local options and negotiate better rates when possible, helping maximize your property’s cash flow before the busy spring season begins.
